Reporting to: Staff in charge of Services under Procurement, Services and Contracts Department.

Purpose of the Post:

This role will be responsible of overseeing the after schools’ activities and related events calendar. This role will be directly responsible for developing after school activities, in addition to identifying specialised agencies for facilities rental.

Support community relations by acting as an ambassador for the school as necessary with community members, program participants, partners, collaborators, supporters and advocates, actively building relationships that will advance the mission and outcomes of the organization.

 

Job Description/Key Responsibilities:

The After Schools’ Activities Coordinator will be in charge of the below:

• To provide a high-quality after school service that provides a safe and nurturing environment and promotes the holistic needs of each student attending the service.

• Prepare activities that are developmentally appropriate for the age of the children.

• He/she will have the overall responsibility in the daily management of the service,

• To liaise with the service providers.

• To have overall responsibilities for drafting and implementing all student’s policies and procedures for the service, and to ensure that they are adhered to on a daily basis.

• To support with any outside agencies who may be involved with the service in any form.

• To oversee the planning, implementation and reviewing of activities / programs appropriate to the individual and group needs of the students attending the service.

• To ensure that all health and safety requirements are in place and maintained at all times.

•  To ensure a positive approach to discipline is maintained within the service at all times.

•  Design & prepare policies and procedures for after school activities.

•  Being able to create Technical & Commercial Proposal and can evaluate the received proposals (Technical and contractual aspects). 

•  Being aware of rental procedures and create a template for the management approval.

• To design and manage an Online Rental Platform.

• To perform such other duties appropriate to the office of After Schools’ Activities Coordinator as may be assigned by direct line manager.

• Have the ability to multitask while coordinating several activities simultaneously.

• Provide monthly progress reports and impact measures.

• Ensure program tools and equipment are inventoried and properly maintained.

• Support community relations as necessary with community members, program participants, partners, collaborators, supporters, and advocates, actively building relationships that will advance the mission and outcomes of the organization

• Design and Creating Marketing plan. 

• Design and Creating Revenue forecast plan.

• Prepare investments study for all programs taking into consideration all opex.

• Design and create RFP for after schools’ activities and floated it to the market according to school procedures.

• Drafting of HSE policies and procedures related to the after-school activities programs.

• Drafting of after schools’ activities contracts with the vendors/agencies.

• Design & prepare policies and procedures for after school activities.

• Being able to compare and analyze Technical & Commercial Proposals and evaluate it based on criteria, best practice and standards.

• Being aware of rental procedures and create all kind of required templet including the management approval process. (taking in consideration authorities and HSE aspects)

• To Provide/design and manage Online Rental Platform.

• Being responsible to achieve all targets as per the plans and management expectation, campuses needs and to work with all departments/stakeholders to solve all obstacles/challenges. 

• Being aware that the job might require working after school’s core business hours/calendars to manage and oversee the activities when and wherever required, overtime compensation isn’t applicable. 


Job Specification:

Experience: minimum of 5 years in Sports Activity Coordinating & After School Activities programs.

Education / Certifications: BA or High Diploma in sports development, business management or equivalent field.

Technical Competencies:

• Excellent communication abilities in Arabic and English (oral and written)

• Organizational skills

• Ability to use good judgment and effective problem-solving skills.

• Maintain proper administrative paperwork.  This includes but not limited to time sheets, attendance sheets leave request forms, and accident/injury forms.

• Uphold and enhance the public image of the schools in any contact with the public.

• Has the ability to multitask while coordinating several activities simultaneously.

• Provide monthly program reports and impact measures.

Other Role Interactions:  Campus Director, Accounting Team.
